Policies

To ensure that all patients have timely access to care, BrainLab Ottawa has implemented the following policies:

Cancellation Policy and No-Show Policy

Patients are required to contact the clinic at least 24 hours in advance to cancel or reschedule an appointment. This allows us to offer the appointment to another patient who needs care. Patients who fail to cancel or reschedule 24 hours in advance, or those who are a no-show will be charged 75% of the clinician’s hourly fee. Continued no-shows may result in discharge from our practice.

Late Cancellations

Cancellations made less than 24 hours before the scheduled appointment time will be considered as a no-show.

Emergencies

We understand that emergencies happen. If you are unable to make your appointment due to an emergency, please let us know as soon as possible so we can reschedule your appointment and waive the no-show fee.

Late Arrival Policy

To ensure timely service for all clients, we allow a grace period of 10-15 minutes for late arrivals. If you arrive beyond this period, we may need to reschedule your appointment to avoid disrupting other clients. Please contact us as soon as possible if you anticipate being late.

New Client Policy

For new clients, we require an initial consultation to assess your needs and ensure you receive the appropriate care. This consultation helps us understand your concerns and tailor our services to best support your well-being. Please complete any necessary intake forms prior to your first visit.

Waitlist Policy

If your preferred appointment time is unavailable, you can join our waitlist. We will notify you if an earlier slot becomes available, giving you the opportunity to book it. This ensures you have the flexibility to secure an appointment at a time that works best for you.

Payment Agreement:

A payment for services is required immediately following each appointment. We accept both debit and credit card payments for your convenience. After your session, an invoice will be emailed to you, which can be submitted to your health insurance company for reimbursement.
